QBO: Create & Export Balance Sheet (By Month)

Goal

Export a Balance Sheet by Month in Accrual basis for the date range you want BizVisualizer to analyze.

QuickBooks Online changes its UI regularly. The labels may move, but the reporting steps are generally the same.


Step 1: Open the Balance Sheet report

  1. In QuickBooks Online, go to Reports then Standard Reports
  2. Find Balance Sheet
  3. Open it

Step 2: Customize the report

Set the following:

  • From: as far back as you want to analyze (at least 16 months recommended)
  • To: the last month where all transactions are entered and all accounts reconciled
  • Accounting method: Accrual
  • Display columns by: Months
  • Leave “Compare to” blank (or default)

Step 3: Export to Excel

  1. Click the Export icon

  1. Choose Export to Excel
  2. Save the file with a clear name and location, for example:

BS 2024-01 to 2026-01.xlsx


Step 4: Save the report (one-time setup)

Save the customized report so you can reuse it next month:

  1. Click Save As
  2. Name it something like:

BS by Month from 2024-01

  1. Add it to a group (recommended), which you may need to create, such as:
